Puntos clave
- Ask for evidence references, not assurances.
- Structure questions by the risk they are meant to control.
- Score gaps as follow-up actions rather than pass/fail alone.
Turn every question into a document request
Instead of asking whether traceability exists, ask the supplier to attach the traceability record for a named recent lot. This converts a questionnaire from an opinion survey into an evidence file.
Structure by risk
Group questions under contamination control, process control, traceability, storage, documentation and change management. This maps the answers directly to the risks the buyer is trying to reduce.
Handling incomplete responses
A partial response is information. Record what was not provided, assign a follow-up owner and a date, and treat unresolved items as open risk in the sourcing decision rather than as a neutral blank.
Qué verificar
- Each question paired with a required evidence attachment
- Responses dated, signed and attributable to a named role
- Open items tracked with owners and deadlines
Riesgos a gestionar
- Questionnaire answered by sales rather than quality personnel
- Generic template producing generic, unusable answers
- Responses never revisited after the first shipment
Errores frecuentes
- Using yes/no questions for material risks
- Accepting a completed form as qualification in itself
- Failing to re-issue after a supplier process change
Preguntas frecuentes
How long should the questionnaire be?
Long enough to cover the material risks of that ingredient and no longer. Over-long templates produce low-quality responses and are rarely reviewed in full.
Who should complete it on the supplier side?
The quality function, with commercial coordination. Answers about process control from a sales contact should be verified independently.
