Role of FeedMatch. FeedMatch is a sourcing platform that introduces buyers to independent third-party animal feed, ingredients and feed-processing solutions Suppliers. FeedMatch is not a manufacturer or distributor and is not a party to any supply contract. Once you engage a Supplier, that Supplier becomes an independent data controller for the personal data it processes to deliver your equipment or project, and its own privacy policy applies. FeedMatch is not responsible for any Supplier's data practices.

1. Who we are

FeedMatch Group ("FeedMatch", "we", "us") operates a sourcing platform that connects buyers with independent feed manufacturers, ingredient producers, additive suppliers and feed-processing solution providers worldwide. We act as a neutral intermediary; we do not manufacture, stock, install, certify or insure equipment, and we do not guarantee commercial outcomes.

FeedMatch Group is operated from the Republic of Cyprus as an independent digital procurement and project planning platform, and is part of the Global B2B Group ecosystem.

2. Information we collect

  • Quote requests: name, email, phone/WhatsApp, company, country, farm location, species, feed category, estimated tonnage, project type, budget range, timeline, financing needs, preferred language and free-text notes.
  • Account data (suppliers and staff): contact details, company information, verification documents, product catalogues.
  • Usage data: pages viewed, source/UTM parameters, language, approximate location (from IP), device and browser, cookies.

3. How we use information

  • To match your request with relevant Suppliers and financing partners and return quotations.
  • To respond to enquiries, send transactional notifications and sourcing follow-up.
  • To improve the platform, prevent abuse and meet legal obligations.

4. Sharing with suppliers

When you submit a quote request, the essential details required to price your project are shared with selected Suppliers. Personal contact details are only shared with the Supplier(s) you choose to engage. Suppliers are bound by their own privacy and regulatory obligations.

5. Subprocessors and service providers

We use a small number of trusted service providers (subprocessors) to operate the platform. Each provider processes personal data only on our documented instructions and is bound by a data processing agreement with appropriate confidentiality and security obligations. Categories of subprocessors include:

  • Cloud hosting and database infrastructure — secure storage of account, RFQ and project data.
  • Authentication services — sign-in, session management and account security.
  • Email and transactional messaging delivery — RFQ confirmations, quote notifications and account notices.
  • Analytics — aggregated, privacy-conscious usage statistics that help us improve the platform.
  • Customer communication tools — support and sourcing follow-up channels you choose to use (for example email or WhatsApp).

5a. Purposes and data categories at a glance

  • Operating the marketplace: RFQ details, company and contact data, project specifications — used to review, match and route your request.
  • Account administration: login credentials, profile and preferences — used to provide buyer and supplier portals.
  • Safety and compliance: usage logs, verification documents — used to prevent fraud, meet AML/CTF, sanctions and export-control obligations.
  • Platform improvement: aggregated usage data — used to measure and improve content, calculators and workflows.
  • Communications: email address and language preference — used for transactional messages and, with consent or legitimate interest, marketing.

We do not sell personal data, and we do not share personal data with third parties for their own independent marketing purposes.

6. Retention

We retain personal data only for as long as necessary for the purposes described in this policy. Indicative retention windows:

  • RFQs and project records: for the life of the sourcing engagement and up to 7 years afterwards, to support dispute resolution, tax and accounting obligations.
  • Account data: for as long as your account is active, and up to 24 months after closure unless a longer period is legally required.
  • Support and email correspondence: up to 36 months after the last interaction.
  • Analytics and usage logs: up to 14 months in identifiable form, thereafter only in aggregated form.
  • Marketing consents and suppression lists: until consent is withdrawn, plus a minimal suppression record so we can honour your opt-out.

You may request earlier deletion at any time; we will comply unless a legal obligation or a legitimate dispute requires continued retention.

7. Your rights and how to exercise them

Subject to applicable law (including the GDPR where relevant), you have the right to access a copy of your personal data, correct inaccurate data, request erasure, restrict or object to processing, receive your data in a portable format, and withdraw consent at any time without affecting processing carried out before withdrawal.

To exercise any right, email privacy@feedmatchgroup.com from the address associated with your request or account, stating the right you wish to exercise. We acknowledge requests promptly and respond within one month; complex requests may be extended by a further two months, in which case we will tell you why. We may ask for reasonable proof of identity before disclosing personal data. Exercising your rights is free of charge unless a request is manifestly unfounded or excessive.

8. Cookies and similar technologies

We use a limited set of cookies and similar technologies:

  • Strictly necessary — authentication, session management, security and load balancing. These cannot be switched off without breaking the site.
  • Preference — remembering language, region, currency and unit settings.
  • Analytics — aggregated statistics about page usage, used to improve content and tools.

We do not use advertising, retargeting or cross-site tracking cookies. You can block or delete cookies in your browser settings; blocking strictly necessary cookies may prevent sign-in and RFQ submission. Full details are in our Cookie Policy.

9. Security

We apply administrative, technical and organisational safeguards appropriate to the risk, including encryption in transit (HTTPS/TLS), encryption at rest for stored records, role-based access control and least-privilege access to production data, row-level security on database records so buyers and suppliers can only see their own information, audited administrative actions, and malware scanning of uploaded documents. Access to personal data is limited to personnel who need it to operate the service.

No system is perfectly secure. Please use strong, unique passwords, do not share account credentials, and contact security@feedmatchgroup.com immediately if you suspect unauthorised access. Suspected vulnerabilities should be reported under our Responsible Disclosure Policy.

10. International transfers

FeedMatch Group operates a global marketplace, so your information may be processed in countries outside your own — including outside the European Economic Area — by us, our subprocessors, or Suppliers you choose to engage. Where personal data is transferred from the EEA, the UK or Cyprus to a country without an adequacy decision, we rely on appropriate safeguards, principally the European Commission's Standard Contractual Clauses supplemented by technical and organisational measures, or on a derogation permitted by Article 49 GDPR (for example, transfer necessary to perform a contract you requested, such as sending your RFQ to a supplier in the destination country). You may request information about the safeguards applied to a specific transfer from privacy@feedmatchgroup.com.

11. Legal bases for processing (GDPR)

Where the EU / UK GDPR or equivalent Cyprus data-protection law applies, FeedMatch Group processes personal data under one or more of the following legal bases: (a) performance of a contract or steps to enter into a contract at your request (matching, RFQs, quotes, account services); (b) legitimate interests of FeedMatch Group and its users in operating, securing, improving and marketing the platform, preventing fraud and abuse, and introducing qualified projects to independent financing partners, balanced against your rights; (c) compliance with legal obligations (tax, accounting, AML/CTF, sanctions, export control, court orders); (d) your consent (optional analytics cookies, marketing communications, financing partner introductions), which you may withdraw at any time; and (e) protection of vital interests where relevant.

12. Your GDPR rights

Subject to applicable law, you may exercise the rights of access, rectification, erasure, restriction, portability, objection and withdrawal of consent, and the right to lodge a complaint with a supervisory authority — in the Republic of Cyprus, the Office of the Commissioner for Personal Data Protection. Requests: privacy@feedmatchgroup.com. We respond within statutory deadlines and may request proof of identity where appropriate.

13. Automated decision-making

Supplier matching and lead scoring may involve automated processing to rank and route RFQs. This is not solely automated decision-making producing legal or similarly significant effects on you; a human reviews commercially material introductions and financing referrals. You may request a human review by contacting privacy@feedmatchgroup.com.

14. Data breach notification

Where a personal-data breach is likely to result in a risk to the rights and freedoms of natural persons, FeedMatch Group will notify the competent supervisory authority without undue delay and, where required, affected users, in accordance with GDPR Articles 33–34.

15. Marketing

Transactional messages (RFQ replies, quotes, account and security notices) are sent based on our contractual relationship. Marketing emails require your consent or, for existing business contacts, our legitimate interest; you may unsubscribe at any time via the link in each email or by contacting us.

16. Children

The platform is a B2B service intended for business users aged 18+ and is not directed to children. We do not knowingly collect personal data from children.

17. Changes

We may update this policy from time to time. Material changes will be communicated via the website.
