Plan the inspection

Inspection scope written into the purchase contract
Sampling plan defined (number, location, compositing rule)
Independent surveyor appointed and agreed by both parties
Laboratory accreditation and test methods nominated
Three-way sealed sample split arranged (buyer / seller / umpire)

At loading

Hold, container or truck cleanliness verified and photographed
Previous cargo declaration reviewed for compatibility
Seal numbers recorded and matched to documents
Composite samples drawn and sealed under supervision
Weight determination method recorded (draft survey / weighbridge)

At discharge

Seals checked intact before opening
Sensory inspection: odour, colour, temperature, caking, insects
Composite sampling repeated under the same protocol
Moisture and key parameters tested before intake into storage
Any deviation photographed and reported within the claim window

Documentation & follow-up

Certificate of analysis cross-checked against contract limits
Laboratory results compared with the seller's certificate
Non-conformance raised in writing within the contractual deadline
Corrective action requested and supplier scorecard updated
Retained samples kept until material is consumed and verified
