The packing list and why it matters at receipt

Kurz gefasst

The packing list describes how the consignment is physically made up — packages, weights, marks and lot numbers — and it is the document receiving staff actually work from when they check a delivery.

Kernpunkte

  • Lot numbers on the packing list are what connect cargo to certificates.
  • Gross and net weights must be stated separately.
  • Marks and numbers must match the physical packaging.

Content that receiving needs

Package count and type, net and gross weight per package and in total, marks and numbers, lot or batch identification per package group, and container or vehicle references with seal numbers where applicable.

The traceability role

Where a consignment contains several production lots, the packing list is usually the only document that shows which lot is in which packages. Without it, an analytical result cannot be attached to a specific portion of the cargo.

At the point of receipt

Count and weigh against the list before signing. Discrepancies noted on the delivery document at receipt are recoverable; the same discrepancies raised days later usually are not.

Zu prüfen

  • Package count and weights reconciling with the invoice
  • Lot identification present per package group
  • Seal numbers matching the transport document

Zu steuernde Risiken

  • Short delivery accepted because counting was skipped
  • Multiple lots delivered with no way to identify which is which
  • Weight discrepancies discovered after signature

Häufige Fehler

  • Signing the delivery note clean without checking
  • Accepting a packing list with no lot references
  • Not photographing marks and packaging condition at arrival

Häufige Fragen

Is a packing list needed for bulk cargo?

Bulk shipments use weight certificates and draft surveys instead, but any bagged or containerised portion still requires a packing list.

Which weight governs?

Whichever the contract specifies — loading weight or discharge weight — which should be stated explicitly along with the tolerance and the weighing method.
