How the export documentation flow works

En bref

Export documentation is produced in a fixed sequence — contract, production and inspection records, transport booking, transport document, certificates, then the presentation set — and a delay at any point pushes release at destination.

Points clés

  • Certificates depend on inspection and loading data, so they follow shipment.
  • Agree who issues, checks and courier-forwards each document.
  • Advance copies allow errors to be caught before originals travel.

The sequence

Contract and specification, production and quality records, pre-shipment inspection where applicable, booking and loading, transport document issuance, certificate issuance based on shipment data, and finally presentation of the document set.

Advance copies

Requesting scanned drafts as soon as each document is produced allows discrepancies to be corrected while it is still cheap. Waiting for the original courier set to arrive means errors are found at the worst possible moment.

Responsibility mapping

For each document, record who produces it, who checks it, what the acceptance criterion is and how it reaches the buyer. Undefined responsibility is the most common cause of a missing document at arrival.

À vérifier

  • Document responsibility matrix agreed before the first shipment
  • Advance scanned copies received and checked for every document
  • Courier tracking for original documents where originals are required

Risques à maîtriser

  • Originals arriving after the cargo, delaying release
  • Certificate issued with data inconsistent with the transport document
  • No agreed correction route when a discrepancy is found

Erreurs fréquentes

  • Relying on the supplier to determine which documents are required
  • Not checking drafts because originals are expected shortly
  • Leaving courier arrangements unspecified in the contract

Questions fréquentes

Why do certificates come after loading?

Because they reference shipment-specific data such as quantity, lot numbers, container or vessel details, which only exist once loading is complete.

Are electronic documents acceptable?

Increasingly yes, but acceptance varies by document type and destination authority. Confirm before assuming an electronic original will be accepted.
