Inspection & Survey Reports

In short

Independent inspection documents the physical condition of cargo, hold or container, packaging and loading at a defined moment, creating the evidence base for acceptance and claims.

What a surveyor actually establishes

Hold or container cleanliness and dryness, absence of prior-cargo residues and odours, packaging integrity, stowage, weight determination by draft survey or weighbridge, and observed condition at the moment of loading or discharge.

Timing determines usefulness

Damage identified during discharge, with photographs and a signed report, supports a claim. The same damage discovered a week later in a warehouse is contested territory. Book inspection to coincide with the transfer of risk.

What to verify

  • Inspection scope and standard agreed in writing before shipment
  • Hold/container cleanliness certificate and prior-cargo history
  • Photographic evidence with timestamps
  • Weight determination method and any discrepancy noted at discharge

Typical risks

  • Prior-cargo contamination in bulk holds
  • Wet damage during loading in rain
  • Short weight discovered without contemporaneous evidence

Common mistakes

  • Appointing an inspector nominated solely by the counterparty
  • Relying on photographs without a formal report

Frequently asked questions

Is inspection worth the cost on smaller parcels?

Judged against the value at risk, inspection is usually a small fraction of the potential loss on any container-scale or larger shipment, and it is the difference between a documented claim and an argument.
